1. Scope
This policy explains how Laneroo collects, uses, stores, and shares information when schools and their authorized faculty use the Laneroo pickup service. Laneroo provides the service to schools. It is not intended for direct use by students or children.
2. The school's role
The school decides which student, family, and faculty information to place in Laneroo and who may access it. The school is responsible for having the authority to provide that information and for giving any notices or obtaining any consent required by its policies or applicable law.
Laneroo processes school records to provide the service and follows the school's instructions regarding those records, subject to legal and security requirements.
3. Information we collect
Depending on how a school configures Laneroo, we may process:
- School information, including the school's name, time zone, pickup settings, and account status.
- Faculty information, including name, email address, role, invitations, and active login sessions.
- Student roster information, including name, preferred name, grade, homeroom, school information system identifier, active status, and family grouping.
- Family distribution information, including parent or family email addresses supplied by the school, generated family-card images and links, and email delivery status.
- Pickup activity, including when a student enters the queue, when pickup is completed, and when an action is undone.
- QR lookup information. A printed QR code contains an opaque lookup value and does not need to contain a student's name or school identifier.
- Technical information used to operate and secure the service, including IP address, browser or device information, session activity, error logs, and email delivery events.
- Communications sent to us, such as support requests and pilot inquiries.
4. How we use information
We use information to provide the pickup queue, authenticate faculty, maintain school accounts, send service emails, respond to support requests, prevent abuse, investigate errors, protect the service, and comply with law.
We do not sell or rent student information. We do not use student information for targeted or behavioral advertising, and we do not build profiles about students for purposes unrelated to the school's use of Laneroo.
5. When information is shared
We use service providers to host, secure, monitor, back up, and deliver Laneroo. We limit the information provided to what is needed for the contracted service and require providers that receive school-controlled student information to use it only for that service, prohibit unauthorized further disclosure, and maintain reasonable security.
Amazon Web Services provides encrypted backup storage and Amazon Simple Email Service for transactional email. When a school administrator chooses to email a family card, the email provider processes the recipient address and the email contents, which may include the school name, family or student names, the school's message, a secure family-card link, and an attached image. Infrastructure and network providers also process or transmit data as necessary to operate and protect the service.
We may also disclose information when directed by the school, when required by law or valid legal process, or when reasonably necessary to protect the rights, security, and integrity of Laneroo, a school, or another person.
If Laneroo is involved in a merger, financing, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to applicable law and the commitments in this policy.
6. Student records and FERPA
A school may use Laneroo as a service provider performing an institutional pickup function. The school controls the records, selects authorized users, and is responsible for having authority to provide the information. Laneroo processes those records only for the school purposes described in our agreement and the school's instructions, subject to legal and security requirements.
Laneroo uses student records only to provide, support, maintain, and secure the service for the school that supplied them. Laneroo does not authorize independent commercial use or unauthorized redisclosure of those records. We support the school in responding to lawful access, correction, export, and deletion requests.
For Arizona public schools, Laneroo is intended to operate consistently with A.R.S. § 15-1046, including its restrictions on advertising, profiles, sale or rental, disclosure, security, and deletion. Laneroo does not rely on a school's directory-information designation as permission to use student records.
7. Security
Laneroo uses administrative, technical, and physical safeguards intended to protect information. These include access controls, authenticated school accounts, encryption in transit, and encryption at rest for student and faculty personal information. No system can guarantee absolute security.
A Laneroo QR code is a lookup tool. It is not proof of identity, pickup authorization, or custody status. Schools must continue to use their own release and safety procedures.
8. Retention and deletion
We retain information while it is needed to provide the service, maintain security and audit records, meet contractual obligations, or comply with law. Schools may ask us to correct, export, deactivate, or delete school-controlled information. We will delete covered student information within a reasonable time after a valid school request unless continued retention is authorized by the parent or eligible student or required by law. During the pilot stage, some requests may be completed manually.
Deletion from active systems may not immediately remove information from limited backups or security logs. We will retain those copies only for their normal lifecycle or as required by law.
9. Cookies and similar technology
Laneroo uses essential cookies or local browser storage to keep authorized users signed in and protect their sessions. We do not currently use third-party advertising cookies on the service.
10. Changes to this policy
We may update this policy as Laneroo changes. We will post the revised policy with a new last updated date. If a change materially affects how school-controlled student information is handled, we will provide additional notice when reasonably required.
